Deliver one selected worksheet per data file

Split Excel Sheets into Separate Files takes the worksheets you explicitly select from an XLSX workbook and creates an independent data file for each one. The split boundary is the worksheet, which is useful for department, customer, or monthly handoffs. It is different from cutting one table into equal-sized row batches or grouping records by the value of a column.

Before splitting, identify which sheets and regions belong in the delivery. A workbook may contain old periods, internal calculations, hidden reference data, or a cover sheet alongside the intended tables. Creating smaller files does not automatically determine which content is appropriate for a recipient. The selection list and manifest make the chosen scope visible so you can review it before downloading.

Select visible sheets and review hidden content

Choose files accepts unencrypted XLSX. The workbook list displays worksheet order, names, visible state, effective ranges, hidden rows, and hidden columns. Select all visible sheets offers a starting point. Hidden worksheets are not selected by default, including worksheets marked with the stronger hidden state that ordinary Excel menus may not reveal.

You can select one sheet, several sheets, or explicitly include a hidden sheet. Review every selected item rather than assuming that visible means suitable for sharing. Hidden rows and columns are controlled separately for each worksheet. A visible customer table may still hide internal notes or a calculation column. The default exclusions and explicit inclusion checkboxes keep those choices from happening silently.

Confirm the data region of every sheet

Range defines the selected worksheet rectangle. Header row identifies the single row of field names, and Data start row identifies the first output record. Set them independently for each worksheet because department templates can place their headings in different locations. Preview selected area and value modes shows the original selected region before a data file is created.

Use the range end to leave out an explanatory footer or a total block when those rows are outside the data being delivered. The tool does not delete rows merely because a value says Total. If a table has multiple heading rows or merged heading levels, flatten those headings first and inspect the resulting schema. A successful split requires a usable table structure, not just a sheet tab that can be copied.

Use a clear data-value interpretation

The normal export reads stored values and available saved formula results. A number-format mask may make 123 appear as 00123 in the original workbook. Select Display-text column numbers for columns where that visible spelling is the intended delivery value. The value-details preview distinguishes the stored value from displayed text and records the selected interpretation.

The new XLSX files contain data representations as text cells. This keeps selected identifiers and long textual codes from being turned into new live formulas during export. It also means the output is not a faithful copy of the original spreadsheet's number formats, charts, comments, validation, protection, drawings, or layout. CSV represents the same selected table as delimited UTF-8 text, with no worksheet formatting model at all.

Review formula caches and diagnostic output

A cross-sheet formula copied into a standalone workbook can reference a sheet that no longer exists. This tool therefore does not copy the original live formulas as its normal data output. It uses saved results where available and explicitly reports that no recalculation occurred. Those saved values may be older than the latest intended business state of the source workbook.

If a selected formula lacks a usable saved result, normal export for that selection is blocked. You can exclude the affected area or sheet, obtain a freshly calculated source copy, or explicitly select diagnostic output for unresolved cells. Diagnostic output places visible issue markers in the affected positions and labels the status in the manifest. It is evidence for investigation, not a complete business-value delivery with silent blanks.

Preview filenames and resolve conflicts

Filename prefix can add a short common label to each worksheet name. The result manifest displays the actual output names after unsafe characters are cleaned. Names that would be invalid or unsafe as filesystem paths are not used directly. Empty or reserved names receive a safe fallback, and collisions are resolved with stable suffixes rather than overwriting an earlier file.

Two different worksheet names can become the same filename after cleaning. Review the manifest when that happens: it connects each generated name to its original workbook and sheet. Case differences are also considered during collision handling because receiving filesystems can treat them as equivalent. Avoid putting unnecessary sensitive details in a prefix, even when the data rows themselves have already been reviewed.

A complete visible-sheet example

Imagine a workbook with three visible sheets for January, February, and March, plus a hidden internal reference sheet. Choose Select all visible sheets, confirm the range, header, data start, and hidden-row and column settings for each visible sheet, then run the complete input. The expected archive contains three data files and a manifest. The hidden reference sheet contributes no data file or data records.

If two selected sheet names become identical after cleaning, the manifest shows separate output names with a distinguishing suffix. If the March sheet contains an unresolved formula, normal delivery is blocked until you resolve or exclude that content or explicitly select diagnostic output. A ZIP existing on disk is not enough to prove success; every generated data file must independently reopen with the expected rows and columns.

Inspect the manifest before downloading

The main result is the output manifest. It lists generated file names, source workbook and worksheet, selected ranges, output record and column counts, value mode, displayed-text column choices, hidden-content treatment, and diagnostic status where applicable. It also states the omitted workbook features. Use this view as the final checklist of what each recipient's file will contain.

The source workbook is not attached to the result archive. Neither are unselected worksheets disguised as hidden tabs in the new files. Each XLSX data file is built as a new workbook with its own Data sheet. The manifest is descriptive evidence, so its presence is expected in addition to the selected number of data files. Count data files separately from the manifest entry when checking the ZIP.

Compare CSV and XLSX delivery choices

CSV is useful for systems that expect one plain table. The output delimiter is a comma, and UTF-8 BOM is an explicit choice. CSV cannot declare a text cell type, so a spreadsheet application may reinterpret a leading-zero identifier when a recipient double-clicks the file. The characters can remain correct in the file while the application displays a different interpretation.

XLSX data output uses text cells to preserve the selected textual representation in the new workbook. It still does not preserve the original workbook's full appearance or behavior. Formula-like CSV prefixes can be protected with an apostrophe; the export summary reports the affected cells. If raw CSV text is required, disable protection deliberately and acknowledge how receiving spreadsheet software may interpret those values.

Validate delivery and manage the local session

Run complete input prepares the complete selected sheets. Verify export and show summary confirms the generated data files and package, then Confirm download new copy saves the ZIP. The implementation reads generated files back and checks their selected dimensions and values. The grid is paginated for review, but only an explicit sheet or range selection changes the data delivered.

File counts, output size, compressed input, expanded workbook content, declared dimensions, cells, and processing time are bounded. Cancel task stops packaging or processing rather than allowing an old result to replace a newer selection. Changing a range or export setting makes the result stale. Session contents stay in browser memory during supported navigation and language switching; refreshing or closing clears them. Keep downloaded copies only as appropriate for your handoff.

Filename prefix accepts {workbook} for the source workbook name without its extension and {index} for a three-digit number in selected-sheet order. For example, {workbook}-{index}- produces a prefix before the worksheet name. The complete filename is still cleaned and checked for collisions before packaging.

How can I save selected worksheets as separate files?

Can I export only one worksheet?

Do hidden rows follow the hidden-sheet setting?

No. Hidden sheets, hidden rows, and hidden columns are distinct choices. A selected visible sheet can still exclude hidden rows and columns. Review the per-sheet checkboxes and the manifest rather than treating workbook visibility as a single all-or-nothing setting.

Why are cross-sheet formulas not preserved?

A standalone file may lack the sheets and workbook context needed by the original expression. The normal output uses saved results, without recalculation. Missing results require resolution or explicitly marked diagnostic output; they are not silently replaced with ordinary empty values.

What should I check after downloading?
